The short version

  • We collect what you give us (forms, calls, emails and bookings) and basic technical data our web host keeps.
  • Our phone line is answered by Miles, an AI assistant. Calls are recorded, transcribed and summarized.
  • If you tick the box on our contact form asking us to call, Miles may call you back. Those calls use AI and are recorded. Say stop anytime and we won’t call again.
  • We use service providers to run the business: hosting, email, a CRM, the phone platform, AI, scheduling, payments and e-signatures.
  • We don’t sell your personal information, and we don’t share it for cross-context behavioral advertising.
  • There are no ad pixels on this site. Our analytics are cookieless and aggregate.
  • If your store signs up for a plan, the data from your store and your customers that we handle for you is covered by our Data Processing Addendum, not this policy.
  • To see, correct or delete your information, or to opt out, email hello@elevara.agency.

2

Who we are and what this covers

Elevara (“Elevara,” “we,” “us”) builds AI automations for businesses. It’s run by Jordan, the owner, in Southwest Florida.

This policy covers personal information we collect through:

  • this website, elevara.agency, including its forms;
  • our phone line, (239) 251-5474;
  • email, bookings, payments and e-signatures with us;
  • our business outreach, sent from elevarahq.com.

If you sign up for a plan, this policy covers your own details as our client. The data from your store and your customers that we handle for you is covered by our Data Processing Addendum, which is part of our Terms of Service. See Data we handle for our clients. Custom work under a signed agreement follows that agreement.

3

What we collect, and from where

What you give us

  • The contact form: where the busywork is (Operations, Sales, Finance or Not sure yet), your name, your business, your email address, your phone number if you give it, the process you describe, and whether you ticked the box asking us to call you. When you tick it, we keep a record of your consent: the time, the number, your IP address, your browser type, the page, and the exact wording you agreed to. See Calls you ask for on our contact form.
  • Our former closer program: it has ended. If you applied to it, or a closer registered your business, we still hold what was given to us then. Email us and we’ll delete it.
  • Phone calls: your phone number, the recording and transcript of the call, and what you tell Miles, such as your name, email, business, website and what you want automated. See Phone calls and recordings.
  • Bookings: when you book a call through Cal.com, your name, email, business and what you want automated.
  • Email: whatever you include when you write to us. Our email runs on Google Workspace.
  • Signing up for a plan: the store you name and its platform, the automations you choose, your answers to our setup questions, your name, business and email, and a record that you agreed to our terms: the version, the time and your IP address.
  • The store reader: the store address you type on our home page. We read that store’s public pages to suggest automations. We don’t save the address or what we read, though our host’s logs record the request.
  • Payments: payments run through Stripe, which handles your card details. We see your name, email, billing address, the type and last four digits of your card, and your payment history.
  • E-signatures: when you sign an agreement with us through Documenso, your name, email and signature, and Documenso’s record of the signing.

What’s collected automatically

  • Server logs. Our web host keeps logs of requests to this site. They include your IP address, along with details such as the page requested, the time and your browser type.
  • Analytics. Our host’s analytics give us aggregate numbers, such as how many people viewed a page. It’s cookieless.
  • Spam protection. Our forms briefly use your IP address to slow down spam and repeated submissions.

What we get from other sources

  • Public and business sources: for our outreach, business contact information from business websites, Google Maps and Places listings, and B2B data providers. See Business outreach.
  • Caller ID: the number you call us from.

4

How we use it

We use personal information to:

  • answer you, book and hold calls, and follow up on what you asked about;
  • call you back when you ask us to on the contact form, and keep a record of that request;
  • run our relationship with clients, including audits, proposals, agreements and payments;
  • set up and bill your plan, help you connect your tools, and send you emails about your plan;
  • answer and route phone calls, recognize returning callers, and improve our AI assistant;
  • draft replies and summaries with AI providers;
  • contact businesses about our services (see Business outreach);
  • keep the site and our systems working and secure, and prevent spam and abuse;
  • understand, in aggregate, how the site is used;
  • meet our legal duties, enforce our terms, and protect our rights and the rights of others.

5

Who we share it with

We share personal information with these kinds of service providers, so they can do their part of the job:

  • website hosting and analytics;
  • email and email delivery;
  • our CRM (customer relationship management system);
  • our phone and voice-AI platform, and the voice and language-model providers it uses;
  • AI providers that draft replies and summaries;
  • scheduling;
  • payment processing;
  • e-signatures;
  • internal notification tools that alert Jordan.

We may also share it:

  • when the law requires it, or in response to valid legal process;
  • to protect the rights, safety or property of Elevara, our clients or others, and to enforce our terms;
  • if Elevara’s business is reorganized, for example into a new company, or transferred. This policy keeps applying to the information;
  • with anyone else, when you ask us to or agree to it.

We don’t sell personal information, and we don’t share it for cross-context behavioral advertising.

6

Data we handle for our clients

  • When a store signs up for a plan, we handle data from that store, including its customers’ details, only to run its automations, as its service provider.
  • The store’s own privacy policy covers that data, and our Data Processing Addendum with the store sets out how we handle it. We don’t sell it, share it for advertising, or use it to train AI models.
  • If you’re a customer of one of our clients and want to see, correct or delete your information, contact the store. If you contact us instead, we’ll pass your request on to them.

7

Phone calls and recordings

  • Our line, (239) 251-5474, is answered by Miles, an AI assistant. He runs on a voice-AI platform, which uses third-party voice and language-model providers.
  • Calls are recorded. Miles’s greeting tells you so. If you don’t want to be recorded, hang up and email hello@elevara.agency instead. By staying on the line, you consent to the recording.
  • Each call is recorded and transcribed, and an AI summary is made.
  • When you call, we check your number against our CRM so Miles can recognize returning callers, including whether you already have a call booked.
  • Call details, such as your number, the recording, the transcript and the summary, are stored with our voice platform and in our CRM. Summaries are sent to Jordan through internal notification tools.
  • If Miles books a call for you, he books it on Jordan’s calendar through Cal.com with the details you give him.
  • We also use recordings and transcripts to improve Miles, for example how he pronounces names. That processing runs on Elevara’s own server.
  • Miles is an AI, and he’ll tell you so if you ask. He can make mistakes, and nothing he says is a binding offer or quote. See our Terms of Use.
  • To ask us to delete a recording, email hello@elevara.agency.

Calls you ask for on our contact form

  • Our contact form has a separate box, unticked until you tick it, asking us to call you. We only call you about your inquiry if you tick it. You don’t have to tick it, and you don’t have to agree to calls to buy anything from us. Without it, we answer by email, or Jordan may call you himself about what you asked.
  • When you tick it, Miles, our AI assistant, may call you back at the number you gave, usually within a minute or two. These calls use AI and automated technology.
  • These calls are recorded, and Miles says so when you answer. They’re transcribed and summarized like the calls you make to us.
  • We only call between 8am and 8pm your local time, going by your area code. Outside those hours we don’t call, and Jordan follows up the next day. The website places at most one automated call to a number in any 24 hours. If you don’t answer, Miles may leave a short voicemail.
  • To stop these calls, say “stop” or tell Miles you don’t want calls, or email hello@elevara.agency. We add your number to our do-not-call list and won’t call it again.

8

Business outreach

  • We email businesses about our services from a separate domain, elevarahq.com.
  • To do that, we collect business contact information, such as a business’s name, website, phone number and work email address, from public sources: business websites, Google Maps and Places listings, and B2B data providers.
  • Every outreach email has a way to opt out. When you opt out, your address goes on our suppression and do-not-contact list, and we don’t email it again.
  • We honor do-not-call requests.
  • To be removed, or to ask what we hold about you, email hello@elevara.agency.

9

Cookies and analytics

  • This site doesn’t use advertising or tracking cookies, and there are no ad pixels on it.
  • We use our host’s analytics, which are cookieless and report only aggregate numbers, such as page views.
  • Our web host keeps server logs, as described above.
  • When you use a service run by someone else, such as Cal.com to book or Stripe to pay, that service may use its own cookies under its own policy.

10

How long we keep it

We keep personal information as long as we need it to run our relationship with you and to meet our legal duties. Then we delete it.

11

Security

We use reasonable safeguards to protect personal information. No website, phone system or storage is completely secure, so we can’t guarantee the security of your information.

12

Your choices and rights

  • You can ask to see the personal information we hold about you, and to correct or delete it.
  • You can opt out of our outreach at any time.
  • Send requests to hello@elevara.agency. We may ask you to confirm who you are before we act on one, and we’ll honor it within a reasonable time.
  • We may keep information the law requires us to keep.
  • Depending on where you live, your state’s law may give you other rights. We’ll honor them as that law requires.

13

Do-not-call and email opt-out

  • Email: use the opt-out in any outreach email, or email hello@elevara.agency. Your address goes on our suppression and do-not-contact list.
  • Calls: tell us you don’t want calls from us, by email at hello@elevara.agency or when we speak (saying “stop” to Miles works), and we’ll honor it. That includes the calls you asked for on our contact form.
  • Opting out of outreach doesn’t stop our replies to messages you send us, or emails about work you’ve asked us to do.

14

Children

Our website, phone line and services are for businesses. They’re not directed to children, and we don’t knowingly collect personal information from children. If you think a child has given us personal information, email hello@elevara.agency and we’ll delete it.

15

Changes to this policy

We may update this policy. When we do, we’ll post the new version here and change the effective date at the top. The version posted here is the current one.
